Control what your managers can see, and keep a complete record of every change made to your financial data.

What's Covered Here

This guide covers two account-wide controls: Manager Permissions and the Audit Trail. Both are reached from Team Management rather than a single dedicated settings menu.

Your core business details — business name and address, holiday year settings, VAT registration, and clock-in settings — are set up during registration and reviewed afterwards in Company Settings. That's covered in the Getting Started guide, not here.

Manager Permissions

Go to Team Management and find the Owner Settings card to control exactly what your managers can see and do.

Click Open Manager Permissions to see every manager on the account and configure their access individually.

Permissions are grouped into four sections:

Every toggle starts switched off for a new manager. Nothing beyond the self-service Employee Portal is visible to them until you switch on the sections they need here.

Changes take effect immediately — there's no separate save step, and no need to ask a manager to log out and back in for a permission change to apply.

Audit Trail

Go to Team Management → Audit Trail for a complete record of every change made to your financial data — built for MTD compliance, and useful any time you need to check who did what, and when.

Four summary cards sit at the top:

Total EventsEvery logged action on the account, of any kind
Records CreatedHow many new records have been added
Records UpdatedHow many existing records have been changed
Records DeletedHow many records have been removed
Audit Trail event list — Timestamp, Action, Resource, Record ID, Status, and User columns, filterable by Resource Type, Action, and date range

Below the summary cards, the full event list shows every entry with its timestamp, the action taken, the resource it affected, a record ID where relevant, a success/fail status, and which user performed it. Use the Filters bar to narrow this down by resource type, action, or a specific date range.

Export for HMRC downloads the audit trail in a format suitable for MTD compliance checks — useful to have on hand if HMRC ever asks how your digital records are kept.

Not every entry relates to a financial record directly — viewing a dashboard or a report is also logged as an event, which is why Total Events is usually much higher than Records Created, Updated, and Deleted combined.
